If you use TrueCommerce Home for Vendor EDI connectivity, the Billing menu lets you manage billing information and payment activity. This article explains how to use each tab in the Billing menu.
Accessing the Billing Menu
Administrative and Manager-level users can access invoices and configure billing email notifications by selecting Administration > Billing in the Vendor portal. The Billing page includes four tabs: Pending Invoices, Billing History, Configuration, and Terms and Conditions.
Pending Invoices tab
This tab displays unpaid invoices for the current month. Monthly subscription fees are invoiced on the first day of each month. Under the Pending Invoices tab, you can perform the following actions:
View pending invoice details: Expand an invoice record to review its details.
The invoice breakdown shows the following information:
the number of documents traded under your work order or agreement, the number of active trading partners, and, if applicable, the number and cost of inventory feeds uploaded for the month. Taxes are listed separately.
the trading partners included in the invoice. Select the trading partner connections link to open a pop-up that lists each retailer, the number of purchase orders (POs) sent during the month or billing period, and the related PO volume.
Print or download invoices as PDFs: Select the desired link in the Save column to Print or download a PDF version of the pending invoice.
The PDF version includes the following:
payment instructions and contact information for TrueCommerce based on whether you are paying by check, wire transfer, or Automated Clearing House (ACH)
a summary of retailer connections
Select a payment method: You can choose to pay by PayPal, Credit Card, Mail In Check, or ACH/Wire Transfer.
NOTE: You can use PayPal without creating an account. PayPal allows one-time payments through a secure checkout process.
Credit card payments are one-time transactions for the selected invoice. The portal does NOT currently support saving credit card information or setting up automatic payments, so card details must be entered each time you pay an invoice.
Billing History tab
This tab displays previously paid invoices. By default, an automatic date filter is applied, but you can remove it to view your full billing history. In the Billing History tab, you can perform the following actions:
View paid invoice details: Expand an invoice record to review its details.
Print or download invoices as PDFs: Select the desired link in the Save column to Print or download a PDF version of a past invoice.
NOTE: Non-web vendor customers must contact Billing Support to request invoice copies.
Configuration tab
This tab lets you manage the email addresses that receive monthly billing notifications. In the Configuration tab, you can perform the following actions:
Assign an existing email address: In the Unassigned User Email Addresses table, select Add Email Address next to the email address you want to assign. The email address then appears in the Assigned Billing Email Addresses table.
Remove an assigned email address: Select Remove Email Address. The removed email address is returned to the Unassigned User Email Addresses table.
Add a new email address: If the billing recipient is not a system user, you can enter the email address manually in the Email Address field and select Add Email Address. The new email address then appears in the Assigned Billing Email Addresses table.
Terms and Conditions tab
This tab provides the agreement that your vendor account signed when it was first set up with TrueCommerce Home. The breakdown gives details about monthly usage fees, how charges are allocated, which fees apply, and the differences between transactions processed for non-TrueCommerce Home customers and TrueCommerce Home retailer connections. Under the Terms and Conditions tab, you can perform the following actions:
Review the Terms and Conditions agreement: Use this section to understand how costs and charges are defined for your account.
Download the PDF agreement: Select Download PDF Agreement at the bottom of the page to access the official agreement, including the name of the user who originally signed and accepted it during account setup.
Find contact information: Locate the appropriate contact information for billing assistance.
