Will an “exception” cause the PO ACK to fail? This common question arises among Retailer users who notice the “exceptions” or data discrepancies between the submitted Purchase Order (PO) and the Vendor’s returned Purchase Order Acknowledgement (PO ACK). What is an Exception?

In TrueCommerce Home, an “exception” refers to any changes made to the original order details, including item prices, quantities, and shipping dates. Such discrepancies usually arise when a Vendor returns a PO ACK with differing values than those that were submitted in the PO. For example, if a product was originally priced at $50 and the Vendor updates it to $55, this change will be flagged as an exception. For more information on this term, refer to this article.

Will an Exception Cause the PO ACK to Fail?

It is important to understand that exceptions or changes made to the original PO data will NOT cause the PO ACKs to fail within the TrueCommerce Home portal. To assist users in identifying presence of exceptions, documents containing data changes will be marked with a red Y status in the Document Management menu.

Hovering over the red Y status will prompt a pop-up displaying the Acknowledgement Number, date sent, and indication of exceptions. When you click on the Acknowledgement Number link, the detailed ACKNOWLEDGEMENT window will appear, where exceptions will be highlighted.

IMPORTANT: So, exceptions will not cause a PO ACK failure within the TrueCommerce Home portal. The PO ACK will export to the Retailer’s Enterprise Resource Planning (ERP) system for next step processing.

Getting to know Exception Management

To better handle exceptions, TrueCommerce offers an enhanced solution known as Exception Management. This feature necessitates activation through TrueCommerce Home Support, which can then open a project to set up the necessary configurations. Once activated, the Exception Management menu will provide Retailers with a functional interface to accept or reject the PO ACKs.
