Product: TrueCommerce Home (for Vendor)

The Purchase Order Acknowledgement (PO ACK, or EDI 855) is a return document sent to acknowledge receipt of a Purchase Order (PO) and Purchase Order Change. The purpose of this document is for the vendor to verify the product ordered, communicate an estimated Ship Date per item, verify the quantity, and verify cost of the items that have been ordered.

Any back orders or exceptions must be communicated through the PO ACK. Back ordering an item is completed while creating a PO Acknowledgement. This knowledge article walks vendors through updating ship dates, quantities, and sending a PO ACK correctly.

Back Order an Item – Step-by-step Instructions

  1. From the Document Management menu, click the DocNum link of the live PO for which you want to create a PO ACK.

  2. On the PURCHASE ORDER screen, click the Create ACK button.

  3. In the PO ACKNOWLEDGEMENT screen, fill out the form.

NOTE: The required fields are marked with a red asterisk (*).

    • The ACK NUMBER: A unique document number assigned to each PO ACK created. The website will verify to ensure any value entered has not been used before. The web portal can generate a unique ACK Number by selecting the Generate Ack Number button.

    • The ACK DATE: The date the PO Acknowledgment date is being created. This will auto-populate.

    • The *REQ SHIP DATE and REQ ARRIVAL DATE: The confirmed or estimated date the product will ship. The PO contains the desired ship date communicated by the Buyer. This may be entered as the same date or the next day as the PO indicating for you to Ship ASAP. You must update the date with the correct information.

  4. After entering the estimated ship date and arrival date, select Update All Lines for each.
This action populates the dates for each item at the line-item level.

  5. Then, review the line-item level:

When evaluating the product on the PO, consider/ask the following questions:

    • Can the item be fulfilled at the quantity listed?

    • Are the items able to ship all together or separate?

    • Does the unit price look correct?

    • Are any of the items back ordered or discontinued?

    You can:

    • Adjust Quantity and Price by clicking directly in the fields.

    • Modify Ship Dates and Arrival Dates if items ship on different dates.

  6. To back order an item:

If a line item is on Back Order and will ship at a later date and the quantity remains the same, do the following:

    • Change the Ship Date to the estimated future date when the product will be available to ship.

    • Check the B/O (Back Order) box that indicates the line item is Back Ordered.

  7. To discontinue an item:

If the date is far out, the quantity must be set to zero, so the retailer can see the product is not going to be fulfilled on this order.

  8. Once all the required information has been entered, select the Send Ack button located on the left-hand menu.

  9. When a PO Acknowledgment has been created successfully, a Blue or Red Y will appear under the PO ACK Column in the Document Management menu for the Purchase Order.

    • Blue Y indicates that no exceptions are included in the ACK.

    • Red Y indicates that there are exceptions to price, quantity, or dates in the ACK.

Summary

Back ordering an item in TrueCommerce Home is handled through the PO Acknowledgement process. By accurately updating ship dates, quantities, and selecting the appropriate back-order indicators, vendors ensure retailers receive clear and timely information about product availability, helping maintain alignment and avoid fulfillment issues.
