In TrueCommerce Home, vendors use the Purchase Order Acknowledgement (PO ACK, or EDI 855) to confirm receipt of a Purchase Order (PO) and communicate important details such as quantities, pricing, ship dates, back orders, rejection, or even cancellations.
During the lifecycle of an order, situations may arise where updates are required after an initial PO ACK has already been sent. This article explains whether you can create another PO Acknowledgement for the same PO and the rules that apply.
Can I create another Purchase Order Acknowledgement?
The answer is Yes. A vendor can create multiple PO Acknowledgements for the same PO in TrueCommerce Home, as long as the PO ACK number (AKA document number) is unique each time.
The PO ACK Number uniquely identifies each PO Acknowledgement. The system validates this value to ensure that no two PO ACKs share the same document number.
How is the unique PO ACK generated?
When creating multiple PO ACKs for the same PO, you should keep the following in mind:
Each PO ACK must have a unique ACK Number
You may manually enter a new value, or
Use the Generate Ack Number button to have the system create one automatically.
The system will reject any PO ACK that uses a previously submitted ACK Number.
Each PO ACK represents a separate acknowledgment and may contain updated information compared to earlier acknowledgements.
When would I need to create another PO ACK?
After sending a PO ACK, you may sometimes need to create an additional PO ACK when:
Updated ship or arrival dates need to be communicated
Quantities change due to partial fulfillment or back orders
Pricing discrepancies are identified
Items become unavailable or discontinued
A Purchase Order Change is received from the retailer.
Creating another PO ACK allows you to communicate the most current and accurate information to the retailer.
