TrueCommerce Home: For Vendor - Fixing and Resending an Incorrectly Sent Invoice

Learn what to do if an invoice was sent incorrectly in TrueCommerce Home for Vendors, including recommended steps, reseller coordination, and options for resending or recreating invoices.

Written by Quyen Nguyen

Product: TrueCommerce Home (for Vendor)

In TrueCommerce Home for Vendors, invoices are considered financial documents and are immediately triggered to the retailer once they are sent. For that reason, invoices cannot be edited after submission.

If an invoice was sent incorrectly due to reasons like containing inaccurate amounts, quantities, or other details, there are specific steps vendors should follow to resolve the issue properly while remaining compliant with retailer requirements.

This knowledge article explains the recommended process for fixing and resending an incorrectly sent invoice in TrueCommerce Home.

What Happens After an Invoice Is Sent?

Once an invoice is submitted in the TrueCommerce Home portal for Vendors:

  • The invoice is automatically transmitted to the retailer.

  • The document becomes locked and cannot be edited.

  • Any corrections must be handled through contact with the retailer and, in some cases, TrueCommerce Home Support.

Because invoices impact financial records, additional controls are in place to prevent unauthorized changes or resubmissions.

Best Practice: Contact the Retailer

If the invoice is sent incorrectly, before taking any action in the portal, the vendors should contact the retailer directly to inform them of the issue/error.

The retailer will advise how they prefer to handle the incorrect invoice. Depending on their internal process, they may choose to:

  • Manually correct the invoice on their side, or

  • Grant the vendor permission to resend a corrected invoice.

Retailer confirmation is important, as different retailers have different policies regarding invoice corrections.

Option 1: Create a New Invoice (Recommended)

In most cases, the preferred solution is to create and send a new invoice with:

  • corrected information, and

  • a new, unique invoice number.

This approach avoids delays, reduces the need for additional approvals, and aligns with standard financial best practices. Creating a new invoice is usually faster than attempting to modify or resend the original document.

Option 2: Resend the Original Invoice (Support Required)

If the retailer specifically requires the original invoice number to be reused, additional steps are necessary.

In this scenario:

  1. The vendor must obtain explicit permission from the retailer to delete and resend the invoice.

  2. The vendor must then contact TrueCommerce Home Support and provide documentation or confirmation of that permission.

  3. The Support team may also contact the retailer directly to verify approval, as invoices are financial documents subject to audit controls.

Only after approval is confirmed can the invoice be deleted and resent using the original invoice number.

IMPORTANT

  • Invoices cannot be edited once sent.

  • Retailer approval is required before resending or deleting an invoice.

  • Support involvement may be necessary for audit and compliance purposes.

  • Creating a new invoice with a unique number is typically the fastest and safest option.

Conclusion

If an invoice is sent incorrectly in TrueCommerce Home for Vendors, it cannot be edited after submission. Vendors should first contact the retailer to determine how they would like to proceed. In most cases, creating a new invoice with a new invoice number is highly recommended. If the original invoice must be reused, retailer permission and assistance from TrueCommerce Home Support are required to delete and resend the invoice.
