This knowledge article will walk you through the steps to verify your inventory uploads using the TrueCommerce Home Vendor portal as well as encourage you to comply with inventory feed rules.
How to View if Your Inventory Was Sent
After successfully uploading your inventory via a Comma Separated Value (CSV) file, you can check the uploaded items in the Inventory Management section. Follow these steps to verify your inventory upload:
In the portal for Vendor, select the Retailer Portal menu.
The Item Uploads tab is displayed by default. Here, you can view the upload history details including Upload Type, Retailer Name, Upload Date, the number of Item Count, and Username who performed the upload.
Switch to the Inventory Management tab to view a detailed breakdown of your recently uploaded items.
Under the Inventory Management tab, you can take the following actions:
Filter by Retailer Name. This feature allows you to view the most current uploaded inventory feeds associated with a specific Retailer.
Search by Item Number. If you need to find a specific item across all inventory feeds that have been uploaded, you can enter the Item Number. The database will reference the latest occurrence of that item, even if it was not included in the most recent upload. For example, if item “1582” was not part of today’s inventory upload, the database will display its last Upload Date.
Re-upload or update inventory details. You can add new inventory items, edit the details in the relevant columns, and delete items that are no longer available.
IMPORTANT:
After making any updates, make sure you click the Save Changes button. The system will compile an EDI 846 inventory feed, including all updated items, which will be sent to the Retailer portal.
While the Inventory Management section allows for direct updates, it does not confirm that the updated entry has been sent. To track and ensure that your inventory feed has been successfully submitted, it is highly recommended to use the CSV file method. This way, you can monitor item counts and review what has been loaded into the system.
Compliance with Inventory Feed Rules
To avoid discrepancies or conflicts in inventory management, ensure you adhere to the following guidelines for your inventory feed:
Available items: For items currently available for order, the quantity must be greater than 0, and valid Availability Dates should be provided.
Back-ordered or discontinued items: For items that are back-ordered or discontinued, the quantity should be set to 0, along with a future Availability Date indicating when the item is expected to be back in stock.
Failure to comply with these rules may result in discrepancies or conflicting information sent to the Retailer, leading to potential issues with their inventory management.
